Centralized Standards Lifecycle Platform on Microsoft Dynamics 365

Project Description

The customer's country requirements programme is responsible for the development, maintenance, review, revision, and interpretation of the organization's standards and risk assessments. The programme also serves as the central repository for managing and tracking the lifecycle of standards, including valid, published, revised, withdrawn, and cancelled standards.

To support these processes, Congruent Software implemented the Country Requirements Programme (CRP) solution on Microsoft Dynamics 365. The solution provides a centralized platform for managing country requirement processes, improving visibility, standardizing workflows, and ensuring consistent governance across the standards development lifecycle.

Built on Dynamics 365 with Microsoft Dataverse as the centralized data platform, the solution uses Microsoft Entra ID for secure authentication and role-based access control, ensuring staff access the system according to their assigned responsibilities. It introduces a structured, scalable framework for managing country requirement registrations, process creation, progress tracking, approvals, and reporting, with business workflows automated through the Power Platform.

The implementation established the core CRP platform, including Dataverse tables, business relationships, process management, security model, workflow automation, and integration foundations, providing a robust backend that supports end-to-end management of country requirements while laying the foundation for future enhancements.

Customer Overview

The customer is an international non-profit organization that develops and administers globally recognized standards for responsible and sustainable practices. Their country requirements programme maintains and governs these standards and associated risk assessments across multiple markets.

Customer Requirement

The customer needed a centralized system to manage the full lifecycle of their standards and risk assessments, replacing fragmented records and manual processes. Specifically, they required:

  • A single, centralized platform to store and manage all programme-related standards and risk assessment data.
  • A structured framework for country requirement registrations, process creation, progress tracking, approvals, and reporting.
  • Standardized, automated workflows to govern registration, review, approval, revision, and publication activities consistently.
  • Migration of data from the legacy system into the new platform.
  • Secure, role-based access so staff work within their assigned responsibilities and permissions.
  • Document storage integration and a foundation that supports future enhancements without redesign.

Our Solution

An implementation on Microsoft Dynamics 365 with Dataverse as the central data platform, automated through the Power Platform and integrated with SharePoint. Automating registration, review, approval, and publication workflows on Dataverse reflects our Dynamics 365 consulting services applied to a governed, lifecycle-driven process.

Data platform

  • Database development on Microsoft Dataverse, configuring tables, business relationships, and the core data model as the single source of truth for programme data.
  • Data migration from the legacy system into the new platform.

Process & automation

  • Workflow automation through Power Platform capabilities to drive registration, review, approval, revision, and publication processes.
  • Business logic and data validations to enforce consistency and governance across the standards lifecycle.

Security

  • Role-based access management using Microsoft Entra ID for secure authentication and permission-based access.

Integration

  • SharePoint integration for document storage, connected to the CRP platform.
